Make sure your team can collaborate on documents as needed.
Set the meeting schedule
Try virtual chats, pre-set a meeting schedule, prepare and share necessary documents.
The team spirit consists of small everyday situations that you experience together.
Meet daily
Everyday video meetings, where you can see and hear each other, make the great way to keep employees engaged.
Share information regularly and remind of the goals
Sharing information on completion of projects’ milestones and plans for the coming days is a good way to build teamwork.
Don’t give up the office etiquette
Schedule appointments according to coworkers’ calendars and inform them about your availability. Respect your and your colleagues’ time both: work and private.
The studies over distributed teams show that remote work can be as effective as stationary, but not always as satisfying. That is why, it is so important to take care of the well-being of the team.
Be an active participant in the meetings
In virtual contacts it is easy to miss all the small signals that are important in real contact, i.e. nodding, approval murmur, etc. Therefore, try not to mute the microphone without explicit necessity. Your nod, even in the form of ” mmhmm ” is important in communication.
Remember – talk to people, not to a microphone or a laptop
Start the conversation with nice, personal touches. Ask how the weekend was and tell something about yourself.
Create a space for discussion
An always-open group chat is a good place not only for job talks, but also for jokes, casual chatting or private announcements and questions.
One place
It doesn’t matter, if it’s a desk in the office or a table in the kitchen. What really matters – let it be one, permanent, dedicated spot. After a few days, your brain will automatically switch to work mode when you are there. Relax mode will enter, when you leave it.
One time
At your home, your work must not only have a dedicated space, but also the dedicated time. Don’t start in pajamas nor take your laptop to bed. Stick to everyday customs. Don’t work all the time. Respect your private space as much as professional space.
Detailed planning
Don’t be fooled by the home atmosphere. If keeping your company discipline at home is a challenge for you, make a detailed list of tasks, preferably the day before. Awareness of the amount of work will help you sit at your desk and progress in their implementation will be motivating.
Full concentration
Try to work on one project at a time. It’s easier to focus, if you only have one problem. If you need to – dare not answer unexpected calls.
Your home has special rights
Chatting children, a barking dog, a boiling kettle – your houses background noise is nothing wrong as long as it doesn’t interrupt communication. It is your house. Your coworkers understand that the family life is not waiting for your call to end. Be understanding with them.
Your home network Infrastructure
Here are some tips that can be usefull during videocalls:
1. Lower your video quality when your bandwith drops.
2. Use the support of your phone – send and receive images through WiFi on your PC/laptop, but talk using your phone.
3. Use text chat if possible.
Hardware
Laptops, smartphones, tablets – all decent choices but laptop (or PC with webcam) is the most suitable for business videoconference, mainly because of stability of the image, quality of the transmission and easy acces to any file on the hard drive.
Smartphone after all?
If you decide to talk via smartphone – take notice of the position of your phone (horizontal or vertical), as it may impact the way other callers perceive you. For example, holding your phone vertically is a common mistake. PC/laptop users with larger screens will only receive a narrow image, as a small spot on their screen.
Necessary features
Telecommunication applications should substitute a physical verbal conversation with all its “features”, such as screen sharing, sending data on text chats and sharing files.
Stability
The system you use for videoconferencing should not only allow communication, but also withstand adding more and more participants. High-quality tools allow dozens of people to converse and thousands of people to watch high-quality streaming video.
Provide a nice view for people watching you
Find the best spot for a video chat, concidering that viewers will also watch your background. Anything behind you should be bright, neutral, clean and not distracting. According to research, persons with live plants around and mild sidelight, appear more likable and trustworthy than those around office supplies.
Framing
To look your best, set up your webcam so that your silhouette is seen in medium close-up, to cover your shoulders and head. Sit a minimum of 50 centimeters from the camera, while trying to keep it at the height of your nose.
Light
Your face should be lit evenly. Also do not sit back to the window during the day – the camera will automatically adjust to the outside light and you will appear only as a dark silhouette.
